Grooms Office Environments is looking for a detail-oriented Warranty & Service Coordinator to manage warranty claims and support service operations. This role ensures timely service, accurate documentation, and clear communication with clients and the service team. The ideal candidate is organized, proactive, and client focused.

Duties and Responsibilities:

  • Log all warranty claims accurately using JotForm, the company’s digital tracking system.

  • Maintain comprehensive records of each job’s warranty history, including issue details and completed repairs.

  • Ensure all documentation is complete, accurate, and up to date for every service claim.

  • Notify the scheduler promptly when warranty parts or items are received and ready for scheduling.

  • Monitor the status of all active warranty claims, ensuring no repair remains inactive for more than two weeks.

  • Escalate overdue or unresolved repairs to the Service Manager as needed.

  • Serve as the primary point of contact for customers regarding warranty issues.

  • Communicate clearly with customers to gather necessary information and provide updates on service timelines and resolution status.

  • Collaborate with the Service Department team to improve communication and workflow processes.

  • Optimize fleet operations by coordinating efficient truck usage and minimizing downtime.

  • Identify and recommend improvements to the warranty process to enhance efficiency and reduce delays.

  • Assist Service Manager with scheduling, communication, and other tasks as needed.

Requirements:

  • Prior experience in warranty administration, service coordination, or a related role

  • Excellent organizational skills and the ability to manage multiple open claims simultaneously

  • Strong verbal and written communication skills

  • Familiarity with JotForm or similar digital tracking tools

  • Self-motivated with the ability to prioritize and meet time-sensitive deadlines

  • Customer-focused, professional, and responsive in all interactions
